What Your Venue Needs to Support LED and Projection Mapping

Before approving the visual concept, confirm the display footprint, support design, power, access and room conditions with your venue and productio

Before approving an LED wall or projection-mapped environment, confirm that your venue can support the proposed display, installation method, power supply and viewing conditions. A qualified production team needs to review the actual room and equipment. A photograph or ballroom capacity sheet is not enough to approve the setup.

For corporate teams planning an Orlando conference, gala or brand activation, the review should happen before the display layout is locked. A change in screen position or projection surface can affect the content, support design and installation work already being priced.

‍

Show the production team the whole room

‍

Supply a current, dimensioned floor plan, photographs and the intended audience layout. Identify ceiling features, columns, doors, windows and the places guests must move through. Include the planned stage height and where seated and standing viewers will be.

‍

For an LED wall, the usable area includes its support structure, installation access and any required service clearance. Ask the technical lead to place the complete assembly on the plan. A screen that fits visually behind the stage may still conflict with a doorway or backstage route.

‍

For projection mapping, identify both the target surface and possible projector positions. The team must evaluate the distance and angle between them, plus obstructions in the image path. Keep the planned guest routes in view: a position that works in an empty room may be interrupted during the event.

‍

Confirm the support method with qualified people

‍

An LED wall may be ground-supported or suspended, but either approach needs an equipment-specific design. Ask who will review the structure, floor or rigging conditions and who approves the final installation. Avoid treating a generic weight estimate or a previous event photograph as structural approval.

‍

The Orange County Convention Center's published rigging guidelines identify the center as its exclusive rigging service provider. That requirement is specific to the OCCC; another Orlando venue may have a different process. Give the venue and production team the proposed configuration before anyone commits to the installation method.

‍

The corporate buyer's task is to get the approved design, responsible technical contacts and associated costs into the scope. Load calculations, hardware selection and electrical work belong with qualified professionals using the selected equipment's documentation.

‍

Check power and the route to the display

‍

At the FIS Emerald evening experience at Walt Disney World Dolphin Resort, New Sense worked alongside Hello Florida on architecture-specific mapping, coordinating projection, lighting, rigging and power. Those connections formed part of the visual production itself.

‍

Ask for a power plan covering the display, processing, playback and related equipment. Have the venue confirm the supply, connection locations, authorized installer and service orders. A quoted screen price does not tell you whether venue electrical services are included.

‍

Review the delivery route as well as the final position. Doors, freight elevators, loading areas and turns along the route must accommodate the equipment and installation tools. Confirm where cases will be stored without taking over guest space or access routes.

‍

Check projection conditions at show time

‍

For mapping, the surface is part of the result. New Sense's Gaylord Texan atrium project in Texas involved months of researching the structure and developing visuals around its surfaces, proportions and sightlines. For your event, have the team inspect the target surface and agree what must stay unchanged after content alignment.

‍

Review daylight, room lighting and decorative fixtures under the conditions guests will actually experience. Christie's projection-mapping guidance specifically identifies ambient light, distance and obstructions as planning factors. Ask for a practical check of the proposed image with the required event lighting, rather than approving the room only with every light switched off.

‍

For an exterior installation, have the venue and qualified crew address weather exposure, equipment suitability and the decision to pause or relocate. These are site-specific operating decisions, not assumptions to settle with a generic checklist.

‍

Allow time to install, align and test

‍

For the Bishop Moore Catholic Legacy Gala at Rosen Shingle Creek, New Sense coordinated the installation schedule and operating procedures with the venue. Your schedule should likewise reserve time for assembly, signal checks, alignment where applicable and playback. Keep the relevant lighting and scenic elements available for that test.

‍

Ask to review the key brand moment from representative audience positions. Can people see the intended image? Does it work with the speaker, stage and lighting? Agree on who approves that test and what happens if the original layout must change.

‍

Frequently Asked Questions

How much power or floor space will an LED wall need?

It depends on the selected panels, wall dimensions, support design and supporting equipment. Ask for an equipment-specific plan verified against the venue's available services and physical conditions.

‍

Can we map content onto any venue wall?

Suitability depends on the surface, lighting, projector position and permissions. Have the proposed surface inspected before committing to that design.

‍

What should we send for a first review?

Share the venue and room, available plans and photographs, audience layout, desired visual effect, event schedule and known access restrictions. The technical team can identify what still needs a site visit or further documentation.
